1. Acceptance of Terms
By making a booking with Himalaya Radar ("we", "us", "our"), you ("the client") confirm that you have read, understood, and agree to be bound by these Terms and Conditions. These terms form the basis of your contract with us.
2. Booking & Payment
A booking is confirmed once we receive your completed booking form and a 30% non-refundable deposit. The remaining balance is due 60 days before the departure date. For bookings made within 60 days of departure, full payment is required at the time of booking.
We accept payment by bank transfer, credit/debit card, or via our secure online payment gateway. All prices are quoted in USD unless otherwise stated.
3. Prices & Inclusions
All package prices include the services explicitly listed in the itinerary (accommodation, meals, guide, porter, permits, transport as specified). Prices do not include international airfare, travel insurance, personal expenses, tips, or any items marked as optional.
We reserve the right to adjust prices due to significant changes in fuel costs, currency fluctuations, or government-imposed levies. Any such changes will be communicated before the final balance is due.
4. Cancellation by the Client
If you need to cancel your booking, you must notify us in writing. The following cancellation charges apply:
- More than 60 days before departure: loss of deposit (30%)
- 30–59 days before departure: 50% of total package cost
- 15–29 days before departure: 75% of total package cost
- Fewer than 15 days before departure or no-show: 100% of total package cost
We strongly recommend purchasing comprehensive travel insurance that covers trip cancellation.
5. Cancellation by Himalaya Radar
We reserve the right to cancel a trip due to insufficient participant numbers, force majeure events (natural disasters, political unrest, pandemic restrictions), or safety concerns. In such cases, we will offer a full refund or an alternative departure date. We are not liable for any other costs you may have incurred (e.g., flights, visa fees).
6. Changes to Itineraries
Himalayan trekking is subject to weather, terrain, and permit conditions beyond our control. We reserve the right to alter routes, accommodation, or schedules as necessary to ensure your safety and the quality of your experience. No refunds are issued for changes beyond our control.
7. Health & Fitness Requirements
Clients are responsible for ensuring they are in good physical health and are medically fit to undertake the chosen activity. You must disclose any existing medical conditions at the time of booking. We reserve the right to ask for a medical certificate and to decline bookings where we believe the activity poses an unacceptable health risk.
8. Travel Insurance
Comprehensive travel insurance — including coverage for emergency medical evacuation, altitude sickness, trip cancellation, and personal liability — is mandatory for all Himalaya Radar trips. You must provide proof of insurance before departure.
9. Liability
Himalaya Radar acts as an organiser and accepts responsibility for the proper performance of our services. However, we are not liable for death, personal injury, illness, loss, or damage caused by: (i) your own negligence; (ii) actions of a third party unconnected with our services; or (iii) force majeure events.
10. Permits & Visas
All necessary trekking permits included in your package will be arranged by us. Clients are responsible for obtaining their own Nepal visa and any other entry documents required by their nationality.
11. Governing Law
These Terms and Conditions are governed by the laws of Nepal. Any disputes will be subject to the exclusive jurisdiction of the courts of Kathmandu, Nepal.
